This policy explains what personal data Dome Construction collects through www.domeconstruction.co.uk and in the course of our work, how we use it, and your rights under UK data protection law.

We are a small consultancy and have not appointed a Data Protection Officer. Andrew Sheppard is responsible for data protection and is the person to contact about anything in this policy.
What personal data we collect
We collect only what we need to respond to you and to run our projects.
- Enquiries: your name, company, email address, phone number and anything you tell us about your project, when you email, call or use our contact form.
- Clients and project contacts: names, job titles, business contact details and correspondence for clients, contractors, consultants and other members of a project team.
- Suppliers and subcontractors: business contact details and payment details needed to engage and pay them.
- Website use: your IP address, browser and device type, pages visited, time on site and how you arrived. Analytics data is collected only if you accept analytics cookies.
We do not knowingly collect special category data (such as health information) through the website. Please do not send it to us unless we have asked for it for a specific reason, such as site safety records.
How we use it and our lawful basis
UK GDPR requires a lawful basis for each use of personal data. Ours are:
- Replying to an enquiry and discussing a potential project: legitimate interests, or steps before entering a contract at your request.
- Delivering project management and related services: contract.
- Communicating with project team members: legitimate interests.
- Keeping accounts, invoices and tax records: legal obligation.
- Keeping project records, including Building Safety Act golden thread information: legal obligation and contract.
- Measuring how the website is used: consent (analytics cookies).
- Defending or bringing legal claims: legitimate interests.
When we rely on legitimate interests, we balance our interests against yours. You can ask us for details of that assessment.
We do not use your data for automated decision-making or profiling, and we do not send marketing emails unless you have asked us to.
Cookies and analytics
The website uses a small number of cookies. Analytics cookies are set only if you accept them in the cookie banner.
- Strictly necessary cookies: set by Squarespace, our website platform, to make the site work and keep it secure. These do not need consent.
- Analytics cookies: set by Google Analytics to count visits and show which pages are used. These are used only with your consent.
You can change your choice at any time using the cookie settings link in the website footer, or by clearing cookies in your browser. Refusing analytics cookies does not affect how the site works.
Google's use of analytics data is described in Google's privacy policy. Squarespace's cookie list is in the Squarespace cookie policy.
Who we share it with
We never sell your personal data. We share it only where needed to run the business or a project.
- Service providers who process data for us under contract: Squarespace (website hosting and forms), Google (analytics), our email and file-storage provider, and our accountant.
- Project team members, such as clients, contractors, architects and other consultants, where sharing contact details or correspondence is part of delivering the project.
- Professional advisers, such as lawyers and insurers, where needed.
- Authorities and regulators, such as HMRC or the Building Safety Regulator, where the law requires it.
Our service providers may only use your data on our instructions and must keep it secure.
International transfers
Some of our service providers, including Squarespace and Google, store or process data in the United States and other countries outside the UK.
When this happens, we ensure the transfer is protected by a recognised safeguard. That may be the UK–US Data Bridge, the UK International Data Transfer Agreement or Addendum, or an equivalent mechanism approved under UK law. You can ask us for details.
How long we keep it
We keep personal data only as long as we need it, then delete it securely.
- Enquiries that don't become a project: 2 years from last contact.
- Project records and correspondence: 12 years after completion (the limitation period for contracts signed as deeds), or longer where the Building Safety Act requires.
- Accounts and tax records: 6 years after the end of the financial year.
- Website analytics: 14 months.
How we keep it secure
We use password-protected accounts with two-factor authentication where available, encrypted devices, and reputable cloud providers. The website runs over HTTPS. Access to project files is limited to the people who need it.
No system is completely secure. If a breach puts your rights at risk, we will tell you and the ICO as the law requires.
Your rights
Under UK GDPR you have the right to:
- ask for a copy of the personal data we hold about you
- ask us to correct data that is wrong or incomplete
- ask us to delete your data
- ask us to restrict how we use it
- object to our use of it where we rely on legitimate interests
- ask us to transfer data you gave us to another organisation
- withdraw consent at any time, where we rely on consent
To use any of these rights, email andrew@domeconstruction.co.uk. We will reply within one month. There is usually no charge. Some rights have limits, for example where we must keep records by law, and we will explain if one applies.
If you are unhappy with how we have handled your data, please tell us first so we can put it right. You can also complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint or on 0303 123 1113.
